From 2.5 Weeks to 2 Days: How Automation Helped a Collection Agency Win More Business

Before
4 human touches
2.5 weeks to process
→
After
2 human touches
~2 days to process

Every month, a collection agency received a box of paper documents - one stapled packet per account. Getting that box into their systems required four human touches and about two and a half weeks.

Touch one: a team member typed data from page one of each packet. Touch two: a team member checked that work and typed in a handwritten email address from page two. Touch three: the packets were scanned. Touch four: each account was looked up in the document management system and its file uploaded one at a time.

GVH Consulting worked with the agency to redesign the process and automate it with UiPath. The new workflow reduced four touches to two:

Human Scan the entire box of documents.
UiPath Read page one of every account and output the needed data into a spreadsheet already formatted for loading into the agency's system.
Human Review the spreadsheet against the PDF side by side and fill in the handwritten email address - the one step that still needed a person.
UiPath Load the finished file into the agency's system.
UiPath Split the large scanned PDF into one file per account and upload each to the correct account in the document management system.

A box that had taken four touches and two and a half weeks now took two touches and one and a half to two days. The agency had proven it could handle volume reliably, and that track record paid off quickly - the client grew the work to three boxes a month and opened new states to the agency.

Later, the client moved to sending data files electronically and the paper process went away entirely. The trust the agency had earned stayed, along with the extra business.

"The capacity paid off quickly. The client trusted them with more business and opened more states to them - and when the workflow changed, the relationship didn't."

More case studies coming soon.
